Project Overview
Some moving requests are difficult to quote competitively—especially small-volume moves over long distances. Traditional quoting often becomes too expensive, leading to low conversion.
This platform solves that by publishing the move as a listing so partner movers (already travelling in the same direction) can submit proposals, allowing the company to offer a more attractive final price.
The result is a very simple, smooth workflow that replaces time-consuming manual calls with a fully automated system—built to work perfectly on mobile, since most movers operate from smartphones.
The Challenge: Expensive Quotes & Manual Partner Coordination
When the business receives complex requests, producing a standard quote can overshoot the client’s budget—especially for long-distance moves with low volume.
To make those moves viable, the team needs movers who already plan to drive along the same route and timeframe—so the job becomes route-optimized instead of a fresh standalone trip.
Before this platform, collecting partner rates required repeated manual outreach and phone calls, which consumed time and delayed responses.

The Solution: A Listing Exchange with Timed Bidding + Automated Communication
We built a dedicated marketplace platform integrated under a specific URL path, fully independent from the main website implementation.
Admins publish a listing (move offer) and all partners are notified automatically. Partners log in and submit their proposed price directly in the interface.
Each listing stays open for a defined validity window, displayed as a countdown timer. After expiry—or once 3 proposals are collected—the listing is closed automatically.

Administrator Workflow (Back Office)
The admin logs in through the platform entry URL and lands on a dashboard displaying key pipeline statistics, filterable by time period.
Admins can publish listings by entering client details and move data such as departure/arrival, floors/elevators, preferred date range, volume, listing validity window (start/end date-time), and internal remarks.
Ongoing listings show up to three partner proposals with a visible countdown. Admins can delete listings (with mandatory deletion reason), and closed listings move through status stages until completion.

- Publish listing form includes addresses, building access (floor/elevator), date range, volume, validity period, admin remarks
- Ongoing offers: 3 offer slots + live countdown timer
- Auto-close rule: closes at 3 proposals or when timer expires
- Deletion requires a written reason and moves to Deleted listings
Partner Workflow (Mover Portal)
Partners access the platform from the same entry URL, but with a partner-specific experience. Sensitive customer identity is protected: partners see city and postal code, not full address or client name.
Partners submit a price proposal and optional remarks. They can edit their price multiple times while the submission window remains open.
Partners also have a ‘My Submissions’ area showing outcomes driven entirely by admin actions (in progress, accepted, not selected, deleted with reason, completed).

Automations & Notifications
A core requirement was automation: once a listing is published, all partners receive an email notification containing a preview of the move and the bidding deadline.
When the admin selects an offer and the client accepts the quote, the chosen partner receives an acceptance email with a reminder of move details and the promise of a follow-up containing the full job file and consignment note.
When new partners are created, they receive welcome credentials and guidance for accessing the platform and managing their settings.
